# How to troubleshoot salary and data issues in Ravio

## Find out why a salary looks wrong, is missing or hasn't updated.

### Overview

Most salary issues come from one of three causes:

- Ravio is reading a field the wrong way.
- A field isn't reaching Ravio.
- A change hasn't come through yet.

This guide explains how Ravio calculates salary. It then covers each common issue, its likely cause and how to fix it.

### How Ravio calculates salary

Ravio needs four fields for every employee. If you're integrated, we pull them from your HRIS. If not, you share them in a manual upload.

| Field | What it means | Example |
| --- | --- | --- |
| **Pay rate** | The amount paid for each pay period | 3,000 |
| **Pay currency** | The currency the employee is paid in | EUR |
| **Pay period** | The period the pay rate covers | Monthly |
| **FTE (full-time equivalent)** | The share of full-time hours the employee works | 0.6 |

Ravio converts every salary to a full-time annual figure, so each employee is compared with the market on the same basis:

**Annual salary = pay rate × annual multiplier × FTE multiplier**, then × holiday allowance where it applies.

For example, say a part-time employee earns 3,000 a month at 0.6 FTE. Ravio shows a full-time annual salary of 60,000 (3,000 × 12 ÷ 0.6).

#### Holiday allowance and 13th or 14th month pay

In some countries, employees usually receive a holiday allowance or an extra month's pay. Examples are the holiday allowance in the Netherlands and Belgium, the 13th month in the Philippines and the 14th month in Portugal. For these countries, Ravio checks whether the salary already includes this payment. If it doesn't, Ravio applies a multiplier to reach the full annual salary.

### Salary issues

#### A salary is too high

- **A yearly salary is being read as monthly.** Ravio multiplies it by 12, so an annual salary of 1,484,000 shows as 17,808,000. Check that the pay period field in your HRIS is filled in correctly.
- **A part-time salary is already full-time equivalent.** Ravio scales salaries up by FTE. If your HRIS already stores the full-time figure, the salary gets scaled up twice. Let us know which way your salaries are stored.
- **Holiday allowance is counted twice.** If your pay rate already includes holiday allowance, applying the multiplier on top pushes the salary too high.
- **Allowances are included in base pay.** In some countries, such as India, fixed allowances can be a large share of total pay. Tell us whether your base pay field includes them.

#### A salary is too low

- **A monthly salary is being read as yearly.** Ravio doesn't multiply it, so you see the monthly amount. Check the pay period field in your HRIS.
- **A part-time salary isn't scaled up.** This happens when your HRIS stores actual part-time pay but no FTE or working hours reach Ravio. Ravio then treats the employee as full-time. Tell us which field holds FTE % or weekly hours, and how many hours a week count as full-time at your company.
- **A 13th or 14th month or holiday allowance is missing.** Tell us which countries this applies to and how the payment is recorded.

#### Salary is missing for some employees

- **Check your HRIS.** Confirm the employee has a pay rate, currency and pay period. A missing currency alone can stop a salary from showing.
- **Compare two employees.** Put an employee who has a salary in Ravio next to one who doesn't. The empty field is usually the cause.
- **Check field access.** A field can be filled in your HRIS but not shared with Ravio. Check the permissions you gave the Ravio integration, especially for compensation fields.
- **Check where the salary is stored.** Some HRIS hold pay on a contract or a separate compensation record, not on the employee profile.
- **Check your HRIS modules.** In Lucca, for example, pay fields are only available with the Pagga Compensation module.
- **Check the pay period.** Ravio can't process daily or hourly pay rates.

#### There are no salaries for any employees

- **If you're integrated**: Check that Ravio has permission to read salary and compensation fields in your HRIS.
- **If you use manual upload**: Check the file before you upload it. If a spreadsheet formula points at a deleted column, every salary can come through as zero. Paste values, not formulas.

#### A salary is out of date

- **Check the effective date.** Ravio shows each employee's current employment record. A salary change dated in the future appears once that date arrives.
- **Request a refresh.** Click the **Integration Health** widget on your homepage. If the salary is still out of date after a refresh, get in touch and our team can run a full refresh of your data.
- **Check for a fixed correction.** Our team sometimes sets a fixed value on a field for you, such as a location or salary. While it's in place, changes to that field in your HRIS won't come through. Ask us to remove it.

**Note**: Small differences can be rounding. Ravio rounds decimal values, so 69.6 shows as 70.

### Sync and integration issues

#### Changes in your HRIS aren't showing

- **Check when your data last refreshed.** The **Integration Health** widget on your homepage shows this, and you can request a refresh there. Read more in [What is the process for refreshing my data?](https://help.ravio.com/what-is-the-process-for-refreshing-my-data?hsLang=en)
- **Check effective dates.** Future-dated changes appear once the date arrives. This mostly affects job titles and salaries.
- **Check which field you updated.** Ravio may read a different field from the one you changed. Tell us which field you use and we'll check the mapping.
- **Check your API details or permissions.** If these changed in your HRIS, Ravio may no longer receive updates.

#### Employees are missing

- **They aren't active.** Ravio only shows employees with an active status.
- **They haven't started yet.** New hires appear once their start date arrives.
- **They're excluded.** Exclusions set during onboarding, such as hiding contractors, hide everyone who matches. A broad rule can catch more people than you meant to. For example, a "contract" rule can also catch employees on a "Full Time Contract". Ask us to review your exclusions.
- **They aren't shared with Ravio.** Check that the integration has access to every entity, team and employee group you want in Ravio. In HiBob, employees on leave are left out unless you select those leave types when you grant permissions. Also check whether a "Select people by condition" filter is set on the integration user.

#### Employees who have left are still showing

Ravio keeps employees visible for two weeks after their leaving date. Employees with a leaving date in the future stay active until that date.

If someone is still showing after that, check their record in your HRIS. Some systems keep an employee's status as active even after they have a termination date.

**Note**: Ravio needs access to inactive employees to know when someone leaves. Without it, ex-employees can stay in your company view.

#### Your integration says it last synced several days ago

Your integration is usually still connected. First, check whether anything changed in your HRIS, such as the integration user's permissions or API credentials. Then request a refresh from the **Integration Health** widget. If the date doesn't update, get in touch.
